1. Who is YAT Travel?
YAT Travel Limited (YAT Travel) is a New Zealand registered tour operator, founded by passionate explorers who believe that travel is about creating meaningful connections with people, places and cultures. Any references to “we”, “our” and “us” or “YAT Travel” means YAT Travel Limited. YAT Travel takes its obligations in relation to the privacy of your personal information seriously. This Privacy Policy provides information in relation to the basis on which YAT Travel collects, holds, uses and discloses your personal information. In this Privacy Policy, ”personal information” has the same meaning as in the New Zealand Privacy Act 2020. In essence, that is information relating to an individual which can be used to identify that individual or which is linked to an identified individual. For the purposes of relevant data protection laws, YAT Travel will be the primary controller of your personal data. YAT Travel is committed to ensuring your personal information is protected. Your security and privacy are of the utmost importance to us. This Privacy Policy may be supplemented or amended from time to time by posting an updated Privacy Policy on our website (and we may also notify you of important changes).

Overview
YAT Travel collects information in order to conduct its business, including during the booking process, to provide you with our tailored services we provide. We may also provide you with marketing materials (such as newsletters) where you agree to or request this. Only YAT Travel staff and our travel partners and suppliers that need to have access to personal information have access. All our staff are aware of our privacy commitments and the importance of following them.
2. What personal information we collect
At the first point of contact with us, we collect your name and contact details (including, but not limited to, your email address, postal address and telephone numbers). Once your booking with us is confirmed, we request further detailed personal information to allow us to provide you with an extraordinary travel experience. This additional personal information may include but not limited to your date of birth, emergency contact, dietary preferences and requirements, medical information, medical assessments, passport, travel insurance and flight details.
3. Images & video
In accordance with the GDPR and the privacy and data protection rules applicable to New Zealand, YAT Travel will not use photos or videos (or any other personal information) of any of its clients for publicity, or any other, purposes without first obtaining the express consent of those clients.
4. How does YAT Travel collect personal information
We collect personal information in compliance with applicable data protection laws. We generally collect this information directly from you during the course of your interactions with us, unless it is impracticable to do so. We generally collect your personal information when you:
a. Communicate with us via email and other channels;
b. Visit our website;
c. Make enquiries about travel arrangements.
In some cases, we may also collect your personal information that is publicly available, from a third party, such as when someone else books travel on your behalf, including but not limited to family or group trips. In these situations, we will assume that the person making the booking is authorised to act on behalf of all travellers involved. We will take reasonable steps to ensure that individuals can access and correct the personal information that has been shared with us and direct them to this Privacy Policy in each case
By engaging and maintaining such engagement in any manner specified above you are providing your unconditional consent to us collecting, storing, using, and disclosing your personal information in the manner set out in this Privacy Policy.
5. Why we collect your personal information
We use this information to contact you in relation organising and providing services to you for your trip plans, to send occasional related emails, answer your requests for information and maintain our relationship with you.
YAT Travel may be required to provide certain personal information to our travel partners and suppliers for the purposes of delivering your experience. When this occurs, we will make all reasonable efforts to ensure you are notified of:
The following examples explain situations where we may share your personal information with travel partners and suppliers:
(a) if you book additional accommodation through YAT Travel for before or after your trip, or other additional services, we will be required to provide certain personal information to the accommodation provider for the purposes of securing your booking.
(b) we may pass dietary information on to your guides, hotels and restaurants ahead of time, so your specific needs can be accommodated.
(c) we may use your passport and flight information to arrange necessary transportation before, during and after your trip with us, to ensure a seamless and hassle-free experience.
In each of the above cases, you will be notified of the relevant travel partner or supplier that we have shared your personal information with, together with information on how you can access this information. This could be in the Tour booking confirmation or a separate communication from us.
We do not send unsolicited emails. However, we may send you emails related to your booking and your trips with us.
We have an e-mail newsletter and brochure which is regularly updated. To sign up to receive either of these we ask you to provide us your name and email address (and for the brochure, your postal address if you prefer a posted copy). If you no longer wish to receive e-newsletters, you may opt out of them by unsubscribing using the link provided in the email or by emailing YAT Travel at yattravelnz@gmail.com
6. How do we protect your information
Any information given is stored in our secure database at our secure address with no access to unauthorised users. We have passwords, encryption devices and firewalls as protection. That said, we are unable to 100% guarantee the safety of any data transmitted to us via the Internet or using electronic correspondence. Your information is accessible by authorised employees only and remains the confidential property of YAT Travel at all times.
We do not sell, rent or deal in any information we hold about you and (other than our travel partners and suppliers as noted above) we will only provide your personal information to third parties with your express consent and at your direction. We do share relevant personal information about you with our associated companies and our travel partners and suppliers, enabling us to provide our services to you throughout your trip. This relevant information is also shared with your trip guide as appropriate to ensure your safety and comfort on your trip (e.g. relevant medical and dietary information).
YAT Travel only retains your personal information for as long as it is required to fulfil the purposes for which we have initially collected it.
In accordance with the New Zealand’s Privacy Act 2020, you have the right to access any information held about you. We can provide you a copy of the information we hold about you in an electronic, easy to read form upon request, unless your specify otherwise. In order to comply with your request, we may ask you to verify your identity. We will not charge any administrative fee for satisfying your request. If you believe that the information that we hold about you is incorrect or incomplete you can contact us to rectify and update that information. If you no longer wish us to possess your personal information you can simply contact us, and we will permanently delete all information held about you. If you feel we have not complied with this Privacy Policy or you are concerned about our data collection practices again, please contact us.
7. Do we use Cookies
Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your web browser (if you allow) that enables the sites or service providers systems to recognise your browser and capture and remember certain information.
8. Overseas customers acknowledgements
If you are located outside of New Zealand, you acknowledge that you are engaging with a New Zealand-based entity. By doing so, you accept and agree that your personal information will be transferred to and processed in New Zealand. You further acknowledge that New Zealand laws will govern the collection, storage, use, and disclosure of your personal information, and that these laws may differ from those in your jurisdiction. By providing your information, you consent to its transfer and processing in accordance with New Zealand’s legal framework.
9. Changes to our Privacy Policy
We may update this Privacy Policy to reflect customer feedback and changes in our products and/or services, and/or Website or due to changes in law. When we post changes to this Privacy Policy, we will revise the “last updated” date at the end of the Privacy Policy.
If there are material changes to the Privacy Policy or in how YAT Travel will use your personal information, we will notify you either by posting a notice of such changes before they take effect or by directly sending you a notification. We encourage you to periodically review this Privacy Policy to learn how YAT Travel is protecting your information.
